What Is Data-Driven Predictive Maintenance for HVAC Systems and Where It’s Headed?

Updated: Dec 2, 2023

Facility managers are tasked with ensuring that everything in their building runs smoothly. Preventive maintenance is the key to preventing equipment failure and keeping your HVAC system running smoothly. Routine checkups can identify many problems before they become serious. Regular maintenance checks with preventive maintenance are often completed as part of an HVAC service program; regularly performing preventative maintenance tasks performed by expert technicians shall include the following at minimum:

  • Changing filters

  • Improving operation efficiency

  • Checking for leaks

  • Equipment manual/submittal based maintenance

  • Make sure all belts are safe and sound

  • Lubricate all moving parts

  • Clear Debris Around Outside Units

  • Check if the equipment is operating at desired parameters and analyze historical data

  • Understand particular equipment’s specification

  • And many more scheduled tasks based on equipment

The idea of preventive maintenance is to keep machines running smoothly and avoid costly downtime, but the scheduled maintenance tasks have their limits. How can we tell if a particular activity was required by equipment? And what’s the guarantee that all problems/faults are being appropriately addressed? Do you monitor your machine 24/7 regularly? Does it store past activities/issues for improved performance?

The data from sensors have provided a wealth of information for AI, and as such, we’re now seeing commercial and residential properties filled with new technology. Sensor-based systems offer an endless supply for what kind of artificial intelligence can learn from them. And in existing buildings, the data pouring in from the building’s systems have allowed building operators to create an optimum strategy for staff members and occupants. Only 25-30% of total property managers/building operators are utilizing such technology, and why? Because such systems are very complex, you need a tone of expertise or a lot of capital investment to take full advantage. Plus, lack of awareness is preventing many from using such technologies.

Instead of wasting time and resources on tactics with a high overhead, we should implement “Predictive Maintenance” using easy-to-use technology. The Preventive Maintenance contract shall be rewritten with all existing staff to include the Predictive Maintenance strategy. We have concluded that we need advanced software solutions to address all the issues in traditional preventive maintenance, but let’s talk more about Predictive Maintenance before jumping in there.

Definition of Predictive Maintenance (Wiki):

“Predictive maintenance techniques are designed to help determine the condition of in-service equipment to estimate when maintenance should be performed. This approach promises cost savings over routine or time-based preventive maintenance because tasks are performed when needed.”

Predictive maintenance is a proactive approach to identifying and prioritizing repairs before they become Catastrophic failures. For example: instead of being notified with the traditional alarm, The Operator/Technician can access real-time insights on their dashboard. A proactive approach allows for insights into what is happening throughout our facility right now–even potentially pre-empting issues frequently rather than just repairing minor/significant problems! It’s critical to understand that in any HVAC fault/issue, timing is an absolute decider on what level of failure we will face.

“Predictive Maintenance” is a data-driven approach that can help addresses the following.

  1. The HVAC system will be more transparent, and the boiler room and boardroom gap can be eliminated.

  2. The most efficient way to maintain a building is by making sure that all of its HVAC systems are operating at peak performance. This means 24/7 monitoring for any issues or problems, no matter how small they might seem!

  3. Tracking and storing all site activity will make better decisions for AI determining how often any particular fault/issue occurs and helping navigate the root cause of those issues.

  4. By integrating local weather information to help AI better understand the outer build environment and predict important operation parameters, building operations can be more efficient.

  5. A point-of cleverly intelligent technology that knows better than anyone associated with its design/operation process, this isn’t just possible but inevitable—combining data streams and generating results for them all together in one system – what could go wrong?

A low-cost software solution can enable Property Managers, Building Operators and Building Service Providers to take full advantage of all these futuristic technologies and enable “Predictive Maintenance” for their facility. And Artificial Intelligence is key to Perfect Predictive Maintenance. Commercial and residential properties can take full advantage of these futuristic technologies and save on maintenance costs and achieve optimal efficiencies for their assets.
